HR Administrative Assistant
Job Description
- Generate, verify, and reconcile customer invoices in accordance with company policies
- Maintain accurate billing records and ensure timely resolution of outstanding accounts
- Analyze billing discrepancies and respond to customer inquiries
- Support expense processing and reporting functions
- Serve as the first point of contact for incoming calls and visitors
- Coordinate schedules, meetings, travel arrangements, and expense reporting
- Manage office filing systems (electronic and paper), documentation, and data entry
- Draft correspondence, reports, and routine internal communications
- Maintain confidential employee records and HR databases (e.g., PeopleSoft)
- Process HR transactions: new hires, terminations, transfers, payroll updates, and leave tracking
- Assist with onboarding, benefits administration, and compliance documentation
- Coordinate with departments such as Payroll, IT, and Legal to support employee needs
- Associate’s or Bachelor’s degree in Business, HR, or related field
- 2–5 years of experience in a billing, HR, or administrative role
- Advanced Excel skills; experience with systems like Oracle DB, MSSQL, RDP
- Knowledge of benefits administration and employment regulations
- Prior experience in a manufacturing or multi-departmental environment
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Experience with HRIS and payroll systems (e.g., KRONOS, PeopleSoft)
- Exceptional attention to detail and strong organizational skills
- Ability to manage multiple tasks with efficiency and professionalism
