Document Controller (Part-Time, Remote)
Job Description
- Develop and maintain the document management plan, ensuring proper classification, organization, storage and version control with comprehensive revision tracking.
- Manage and maintain document control systems database. Ensure all documents are properly stored and easily accessible.
- Maintain document version control (naming convention) and ensure the at least version is available.
- Coordinates the flow of technical documents, including engineering drawings, specifications, calculations, reports and submittals.
- Ensures compliance with corporate/ GFD document conventions, including numbering and approvals.Ensures compliance with project-specific document conventions, including numbering, approvals, distribution lists and quality assurance requirements.
- Performs a Quality Assurance (QA) review of all documents prior to filing, issuing to the client, AE firm, construction manager or contractor. The QA review shall be performed in accordance with published standards, procedures and processes. In addition, where applicable the Specialist shall become familiar and knowledgeable to execute project specific requirements included in but limited to General Conditions Specifications.
- Quality Control (QC) processes shall be implemented by the Specialist to document and monitor the effectiveness of the Quality Control Program.
- Works with the Project Leadership Team to establish document distribution plans and workflow for each assigned project. Maintains document distribution systems, tracking and schedules for assigned projects based on client, project, and contractor requirements. Expedites and tracks the review, comment, approval, distribution of supplier information produced internally and externally produced project documents throughout the project life cycle. Coordinates and expedites internal deliverables based on the project specific deliverables lists to include the coordination of deliverables into the document management/ tracking system.
- Establish and maintain paper and electronic files for assigned project in accordance with LTC requirements.
- Establishes and maintains electronic indices of project documents throughout the workflow.
- Records, monitors, and documents the revision control for latest set of project documentation submitted in the document distribution system and on project server with updated set easily accessible to the team.
- Generates reports, as required, to meet project requirements, archiving, storage and closeout.
- Supports the preparation of transmittals for document transfer not limited to engineering, procurement, client documents etc.
- Prepares and arranges cataloging, packaging, long-term storage, archiving disposal of project documents at time of project closeout.
- Attends project coordination meetings and prepare meeting minutes to be issued with the approval of project manager.
- Provide status of engineering documents, procurement documents, and submittals as requested by project teams.
- Actively assembles the Engineering Turnover Packages (ETOP), Construction Turnover Packages (CTOP) and other document packages created for project record.
- Proficiency in MS Office and Power Point.
- Relevent experience in Document Control as it relates to the job responsibilities above.
- Proficiency in the use of SharePoint, EPCO and Procor for document control.
- Reside in the Midwest and able to travel onsite to Indianapolis, IN once per month (as needed).
- Ability to commit to a 2-year project.
