Job Summary: The Cash Application & Deduction Specialist is responsible for processing daily cash transactions for U.S. and Canadian banks, including verifying, coding, balancing, and reconciling various transactions related to the Order to Cash (OTC) area. This role also involves tracking automation and other key performance indicators (KPIs) and handling accounting documents as necessary.
Responsibilities:
- Cash Processing & Reconciliation:
- Prepare, apply, and process all U.S. and Canadian exception (non-auto posted) lockbox transactions, EDI, miscellaneous cash, and manual and bank adjustments, including scanning and attaching backup documentation.
- Secure and organize deduction backup from customers through websites, email, or phone.
- Maintain electronic storage files containing various support documents or templates needed for processing deductions.
- Deductions Management:
- Accurately match authorized deductions to planned promotions, issue customer credits for valid claims, and submit repayment requests for unauthorized claims.
- Research and resolve all types of deductions in accordance with established policies and authorization limits.
- Collaborate with Deductions and Cash Application Analysts for data analysis, reporting, and KPI-related tasks.
- Continuous Improvement & Escalation:
- Maintain a reconciliation mindset for balance resolution and drive for completeness.
- Escalate issues and errors promptly, always acting in the best interest of the company.
- Cross-train to support other OTC areas as needed based on volume.
- Keep the manager informed of activities that may require attention.
- Project Support:
- Support projects as assigned, ensuring tasks are completed accurately and on time.
Qualifications & Experience:
- Associate or Bachelor's degree in Accounting or a related field is preferred.
- Minimum of 1 year of experience in a Deduction and Cash Application role.
- Experience within the Consumer-Packaged Goods (CPG) industry is preferred.
- Experience with SAP and Vistex is preferred.
- Strong analytical skills and the ability to think creatively and solve problems using sound judgment.
- Exceptional organizational skills with the ability to manage multiple tasks in a fast-paced, dynamic environment, meeting deadlines with accurate and detailed results.
- Results-driven with a focus on high performance and attention to detail.
- Excellent communication skills (both formal and informal), with the ability to communicate effectively across all levels of the organization and foster a collaborative working environment.
- Proficiency in Microsoft Office (Excel, Word, PowerPoint, and Teams).
- Occasional travel to business meetings may be required.
