Receptionist
Job Description
- Operate the telephone switchboard in the lobby to manage incoming and outgoing calls.
- Assist internal and external callers by identifying the appropriate extensions and directing calls accordingly.
- Greet and guide visitors while determining their needs and contacting the appropriate host.
- Ensure all visitors follow proper check-in and check-out procedures.
- Update and maintain the Visitor Board on a daily basis.
- Distribute and manage headsets, receivers, and transmitters for scheduled visits as needed.
- Keep the reception area clean, organized, and safe at all times.
- Open and secure the lobby at the beginning and end of each shift.
- Support Office Services by receiving packages, delivering and picking up mail, and handling other related tasks.
- Provide cross-coverage for mailroom duties as needed.
- Requires High School Diploma or equivalent
- Exceptional oral communication skills.
- The ability to come across in a professional manner.
- Basic computer knowledge to send and answer email, check telephone directory and prepare correspondence.
- Good telephone etiquette and ability to respond to routine telephone inquiries.
- Less than one year of experience operating a switchboard and working in an office setting handling multiple tasks in an environment where interruptions occur regularly
