Duties: This position encompasses all customer interactions from after receipt of purchase order. Responsibilities include entering/updating production orders, communication with customers on a daily basis, working closely with Designers, production, and accounting personnel to obtain information keeping customers well informed of project status from receipt of purchase order through delivery.
Responsibilities:
- Converting quotes to production orders
- Request and manage all paperwork required from customer
- Coordinate that all deposits were issued and received
- Owns customer complaints and coordinates support from other departments as needed to resolve customer issues
- Collaborate with engineering, marketing, production, sales, and customers to plan, produce, and deliver products for specific projects
- Proactively facilitate timely solutions to customer issues by utilizing available resources or creating procedures for resolution
- Manage and coordinate the manufacture of samples for architects to use in presentations and customer negotiations
- Work on a company level across product lines while assuring consistency for brand identity
- Obtain all necessary information and accurately respond back to customer inquiries
- Recommend solutions or better configurations to enhance the customer's product
- Complete accurately and promptly order entry formal paperwork
- Review of original estimate database against final customer requirements
- Maintain open order database to accommodate revisions to values, quantity/scope, requested delivery dates or cancellations
- Respond to customer requests for information regarding order status
- Notify customers of potential delays in shipment and expedite orders as requested by customer
- Performs other duties and responsibilities as assigned.
Qualifications:
- Minimum of 1 year Customer Service or Administrative Assistant experience
- Demonstrated ability to plan, organize, multi-task and problem solve
- Detail oriented with a strong sense of urgency
- Excellent written and verbal skills
- Proficient in MS Office Applications, including Outlook, Word, and Excel
- Working knowledge of data entry, telephone sales techniques and general office procedures
- Requires good computer skills
