Accounts Payable Clerk
Job Description
- Maintain compliance with company policies and procedures established for Accounts Payable Department, as well as the IRS rules and regulations for Tax IDs and 1099 reporting, W-9 verification utilizing the IRS website performed accurately and timely.
- Provide verbal/written communication with vendors, internal and external promptly. Maintain a good working relationship will all the suppliers for better credit. Prompt attention to issues. Ability to handle “rush” situations.
- Review and process daily business-related expense reports and daily vendor invoices including going through incoming e-mail, regular mail & separate by each department and entering invoices in Microsoft Dynamics AX system, identify and resolve discrepancy, control A/P document scanning and record retention.
- Resolve EFT issues/corrections and verification with vendors promptly and accurately. Periodically review vendor master for duplications and make necessary vendor consolidations. Provide updates to management, internal/external vendors.
- Print checks and stuff into envelope for the vendor, who require checks and handle stop payments/re-issue requests
- Shared responsibility: EFT/Positive pay reconciliation. Check/EFT daily distribution. Mailing backups.
- Shared responsibility: Coverage of Employee vendor/EFT.
- Shared responsibility: Engaging in a service contract with a 3rd party for maintenance and generating reports from Microsoft Dynamics AX.
- High school diploma required. College degree preferred.
- Previous experience with Accounts Payable.
- Previous experience with IRS Taxpayer Identification Number (TIN) matching.
- Strong Microsoft Outlook, Excel and Word.
- Previous experience with Microsoft Dynamics AX preferred but not required.
- Detail oriented is a must, along with strong problem-solving skills.
- Excellent communication skills and the ability to communicate detailed information clearly to internal and external contacts.
